Email Client Settings

An email client is a program used to read and send Emails, whether it be on a desktop, laptop, tablet, or smartphone. All email clients require setup information in order to work. The setup information required is typically the same from one email client to another, however, the manner in which that information is entered does often differ.

Additionally, consider using IMAP if you frequently check emails across multiple devices, as it ensures synchronization, or POP for storing emails locally and reducing server storage usage.

For IMAP, ensure to use port 993 for incoming mail server with SSL/TLS enabled. For POP, use port 995 with SSL/TLS enabled.

Differences between IMAP, Activesync, and POP3

Webnames.ca currently offers three types of SSL encrypted email client connectivity: POP3, IMAP, and Activesync. The differences, pros, and cons of each are outlined below.

IMAP

IMAP connectivity results in your email client downloading email from our mail server to your computer, however, a copy of the email is retained on our mail server until such time that you delete the email from your computer.

To set up IMAP, ensure you enter your full Webnames.ca email address and corresponding password. Use securemail.webnames.ca as the incoming mail server with port 993 and SSL/TLS enabled. Ensure synchronization options are enabled to access emails across multiple devices.

  • Advantages: Email can be accessed from multiple email clients and/or webmail simultaneously.

  • Disadvantages: As emails are not removed from our mail servers until they are manually deleted in your mail client, mailbox storage limits could become an issue over time.

IMAP is generally recommended for users who need access to their email across multiple devices, providing a seamless experience with real-time synchronization.

Activesync

Much like IMAP, Activesync allows for the full synchronization of mail between multiple email apps and devices. Activesync also goes further to allow for calendars, contacts, and tasks to be synchronized as well.

  • Advantages: Email, Calendar, and Contact can be accessed from multiple email clients and/or webmail simultaneously.

  • Disadvantages: As emails are not removed from our mail servers until they are manually deleted in your mail client, mailbox storage limits could become an issue over time.

POP3

POP3 connectivity results in your email client downloading email from our mail server to your computer. Once downloaded to your computer, the email no longer exists on our mail server.

  • Advantages: Mailbox storage limits (on our mail server) are typically never an issue.

  • Disadvantages: Email cannot be accessed via webmail, nor another device, once downloaded to your computer.

POP is ideal for users preferring to store emails on a single device, particularly when server storage space is a concern or if emails are primarily accessed from one location.
