How to Handle Unwanted or Suspicious Emails in Your Webnames.ca Email Account

If you’re receiving spam, phishing attempts, or emails that look suspicious, you can take steps to protect yourself and keep your inbox clean. Webnames.ca provides tools to help you automatically tag, move, or delete these emails.

Step 1: Log in to Your Webnames.ca Account

  1. Go to Webnames.ca and click Login.

  2. Enter your username and password.


Step 2: Access Domain-Wide Mail Rules

  1. Click on the My Account> Email Accounts menu

  2. Click the domain name for which you want to add/edit email accounts.

  3. On the current Email tab, scroll down to the Actions section.

  4. Under Manage Domain Mail Rules, click the Manage button


Step 3: Create a Rule to Catch Suspicious Emails

  1. Click + New Rule

  2. Enter a Name for the rule

  3. Assign a Priority for the rule

  4. In the Conditions section:

    • Choose Header Field from the dropdown.

    • Set the Parameter to one of the following, based on your preference:

If SPF check fails:

X-Webnames: spf-fail

If SPF check soft fails:

X-Webnames: spf-softfail

If SPF check finds an invalid record:

X-Webnames: spf-invalid

If SPF check find no SPF record:

X-Webnames: no-spf-record

Example:

What Each Option Means

  • spf-fail
    The email failed security checks and is very likely forged or dangerous.

  • spf-softfail
    The email looks suspicious but might be legitimate. Review before trusting.

  • spf-invalid
    The sender’s domain has a broken security setup. Treat with caution.

  • no-spf-record
    The sender’s domain doesn’t use security checks. Common for small domains, but still worth caution.


Step 4: Choose What Happens to These Emails

You have a number of options under Action:

  • Tag Subject
    Adds a label to the subject line so you can spot it easily.
    Example:

    [Suspicious Email]
  • Store In
    Moves the email to a folder (like Junk or a custom folder) so it doesn’t clutter your inbox.

  • Discard
    Deletes the email immediately. Use with caution: This is permanent and may remove legitimate emails if misconfigured.

Step 5: Save and Test

  • Save your rule.

  • Check that suspicious emails are being tagged, moved, or discarded as you set.


Reporting Spam

If spam still gets through:

  1. Forward the entire spam email as an attachment to:

  2. Do not add any text in the email body—only the attachment will be analyzed.

  3. Send the message.


Tips to Stay Safe

  • Never click links or download attachments from suspicious emails.

  • Use Tag Subject or Store In before using Discard, so you can review messages first.
